Staff E-mail
Introduction
The Staff E-mail system on the Staff Desktop XP Service uses Outlook 2003. You may also use the webmail system at https://staff-mail.lboro.ac.uk.

Exchange E-mail
The migration of staff e-mail to Microsoft Exchange is now under way, and is expected to take about a year.
Check the Migration Schedule at https://internal.lboro.ac.uk/it/uniwide/info/ep/excroll.xls to see when your department is due to move and be sure to book up for any training sessions that are organised for your department.

Conversion from this Current System
All e-mail, calendar appointments, contacts, tasks, and journal entries will be copied across.
Signatures are also copied across, but must be turned on in Outlook 2007: In a New Mail window select the Insert tab, click the Signature drop-down menu and select Signatures.... You can set up as many signatures as you like and give them each a name. Under Choose default signature, for each of New messages and Replies/forwards select the signature you wish to include or leave at (none).
Vacation Message (Out of Office Assistant) is not copied across. This is now available from the Tools menu: select Out of Office Assistant.
E-mail Rules are not copied across but can be recreated using the much improved interface. In Outlook 2007, from the Tools menu select Rules and Alerts. Further details on Creating E-mail Rules in Outlook 2007 are at www.lboro.ac.uk/it/e-mail/outlook2007-rules.html.
You will temporarily lose the "auto complete" of e-mail addresses until Outlook 2007 re-builds them as you use it. However, you now enter "friendly" names such as Rob Kirkwood rather than e-mail addresses such as R.S.M.Kirkwood.
The Two Year Store was not widely taken up; if you had a two year store it will be transferred to your normal e-mail as a normal folder in your Inbox and its contents will not automatically delete after two years.
If you still have Migrated Mail you can not be Migrated; users will be given every opportunity to deal with this mail in advance of conversion. Please back up any of the contents of your Migrated Mail folder you wish to keep, and delete the rest. The best way to back up e-mail that you want from the Migrated mail folder is to use the Web Pronto interface, create a new folder in the Inbox, go to the Migrated mail folder, select any e-mails that need to be copied, right click and select Copy from the pop up menu and then select the folder in the Inbox where you want them copying to.
To delete the Migrated Mail folder before migration:

Log on to the Old Staff Webmail at https://staff-mail.lboro.ac.uk/signin/webmail/.

Log in using the Full interface

Click on Settings.

Click on Folders.

Under Folder Aliases d elete both the Alias Name and the Foreign Folder Name text for the Migrated Mail folder.

Click Save.

Click Close.
"Spam"
We automaticallly test for unsolicited e-mail advertising ("spam"). E-mail determined as definately being spam is not delivered. E-mail determined as being probably spam is delivered to a folder called Filtered-SPAM - you can check this periodically to ensure we have not falsely identified real e-mail as spam. If you wish to re-direct probable spam to your Inbox, simply delete the Filtered-SPAM folder. If you later wish to not see probable spam in your Inbox, re-create the folder called Filtered-SPAM (the spelling and capitalisation must be precise).
Webmail and Hand-held Devices
Using a web browser on your mobile device (by directing it to https://staff-mail.lboro.ac.uk) will be automatically detected as such by our server, and you will be provided with a special interface "skin" designed especially for devices with small screens. Use the staff e-mail portal to check how much e-mail storage you are using, increase your allocation, and access additional types of e-mail storage.
